PAP supply reorder guide

This guide is designed to help you with ordering your CPAP supplies with the goal of minimizing waste and reducing cost. Order only what you need and when you need with a valid prescription.

1. Know your numbers: Reorder schedule


Insurance plans (including Medicare) set a maximum allowed frequency for replacing each CPAP part. This is the outer limit of what's covered and not a requirement to reorder that often. Replace a part sooner only if it's visibly worn, cracked, or no longer sealing well; wait longer if it still looks and works fine.


CPAP/BiPAP Supply Replacement Schedule

  • Disposable filters – Replace every 2 weeks (about 2 per month). They trap dust and allergens and clog quickly.

  • Reusable filters – Replace every 6 months. Rinse weekly and replace once worn.

  • Mask cushion / nasal pillows – Replace every month. This is the part touching your face, so it wears fastest.

  • Full face or nasal mask – Replace every 3 months. Includes the frame plus cushion.

  • Headgear (straps) – Replace every 6 months. Loses stretch and snugness over time.

  • Chinstrap – Replace every 6 months. Wears the same way as headgear.

  • Tubing / hose – Replace every 3 months. Can crack or develop leaks.

  • Humidifier water chamber – Replace every 6 months. Mineral buildup occurs even with distilled water.

  • CPAP / BiPAP machine – Replace every 5 years. This is usually the manufacturer's expected life span.

*Based on common Medicare/insurance replacement guidelines. Your exact coverage windows can vary by plan, hence check your explanation of benefits (EOB) or ask your DME supplier.


2. You need a prescription


CPAP supplies are covered only when there is a current prescription (order) from your doctor on file with your supplier. This is usually valid for about 12 months. If your prescription has expired,

your supplier cannot ship new supplies until it's renewed, so ask your sleep clinic about this at your next visit or check-in call.


3. Use only what you need


Reordering on autopilot is one of the biggest sources of waste in CPAP therapy. Before you accept a shipment, ask yourself:

• Do I actually need this part right now, or is it just “available” to order?

• Have I checked my current supplies for wear such as cracks, stiffness, odor, or a leaky seal?

• Am I stockpiling parts I haven't used yet from my last shipment?


4. Check your bill ­: You have a choice


Automatic billing does not mean automatic obligation. Every reorder cycle, you get to decide:

● Look at your bill or EOB each cycle before it ships, if your supplier allows it.

● Take the supplies or skip the cycle. You are not required to accept every shipment.

● You don't have to reorder every single time a cycle comes up but only when you actually need something.

● Call your supplier to adjust your reorder frequency to match your real usage, or to pause shipments altogether.
